Description
The Secretary provides administrative support for the school district’s transportation department and 16th Section land management office. This role ensures smooth operations by handling clerical tasks, maintaining accurate records, and facilitating communication between staff, vendors, and stakeholders and other duties as needed.

Reports To: Transportation/16th Section Land Manager

Terms of Employment: 231 Day At-Will Hourly Full-Time Position; Salary based on district pay scale and experience. State benefits including health insurance, retirement, etc.

Qualifications
  • Possess Class B CDL with P and S endorsements (or ability to obtain)
  • Proficiency in Microsoft Office Suite and district software systems.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Knowledge of transportation operations and/or land management is a plus

Transportation Department Support
  • Maintain and update bus route schedules, driver assignments, and student transportation records.
  • Assist with compliance documentation for state and district transportation regulations.
  • Prepare and process purchase orders, invoices, and fuel reports.
  • Coordinate communication between drivers, parents, and school administrators regarding transportation issues.
  • Track and schedule maintenance for district vehicles.

16th Section Land Management Support
  • Maintain accurate records of leases, contracts, and payments related to 16th Section lands.
  • Prepare correspondence, reports, and legal documents for land transactions.
  • Assist with scheduling meetings, inspections, and property evaluations.
  • Ensure compliance with state laws and district policies regarding land use and revenue reporting.

General Administrative Duties
  • Answer phones, respond to emails, and greet visitors professionally.
  • Organize and maintain filing systems (digital and physical).
  • Prepare agendas, meeting minutes, and distribute relevant documents.
  • Handle confidential information with discretion.
